Yes — and in fact, a documented collection is a more protected collection. The most important thing to understand is that your jewelry data never leaves your device. It is not stored on any server, not ours and not anyone else's. It cannot be accessed remotely, leaked in a data breach, or seen by anyone who does not physically have your device and know your vault PIN. A written record of what you own — with photos, weights, and provenance — is evidence of legitimate ownership. It is what you need when making an insurance claim, settling an estate, or recovering from a loss. The families who suffer most after a theft or a dispute are the ones with no record at all. JewelLedger gives you the record. Only you decide who sees it.

No. Your jewelry data is stored only on your device — not on JewelLedger's servers, not in any cloud database, not anywhere we or anyone else can reach. JewelLedger's servers hold only your email address and vault name. That is all we have. We cannot see your collection, cannot hand it to any authority, and cannot comply with any data request for jewelry records — because we do not have them. The only way anyone can access your jewelry records is if they have physical access to your device and know your vault PIN. No remote access is possible. No authority, no third party, and not even JewelLedger can retrieve your data without those two things. Your encrypted backup file, if you create one, is protected by your account password. It cannot be opened without it — not by us, not by anyone.

Yes. JewelLedger documents rings, necklaces, bracelets, earrings, coins, bars, loose stones, and more — any precious item. (Watches have their own dedicated fields — see below.)

Yes. JewelLedger has dedicated watch fields — brand (including Rolex, Patek Philippe, Omega, Cartier, Bvlgari, and more), reference number, serial number (masked by default for security), movement type, case material, case size, water resistance, box and papers status, and full service history. If the watch has a diamond bezel or dial you can document the stones separately. Watches without precious metal cases are excluded from metal value calculations since metal content alone does not reflect their market value.

Metal value is the raw worth of a piece based on its metal content — calculated from the weight, purity, and the spot price you enter. It represents the metal alone and does not include gemstones, craftsmanship, brand premium, or market demand. For a plain gold bangle it gives you a reliable floor value. For a diamond ring or a luxury watch, add a professional appraisal to get an accurate portfolio figure. You enter the spot price yourself so accuracy depends on the rate you use — we recommend refreshing live prices regularly.

Metal value is the raw metal content value — calculated from weight, purity, and today's spot price. It is the floor value of the metal alone and does not include gemstones, craftsmanship, or brand premium. Portfolio value is the best available estimate of what a piece is actually worth — it uses a professional appraisal where you have entered one (which covers the full piece including gemstones) and falls back to metal value for metal-only pieces. The two figures are never added together for the same item.

Yes. Every item has a Provenance section where you record who gave it or where it came from, the occasion, the date, and the memory behind it. You can also add memory photos — photos of the piece being worn, not just the item itself. The full provenance — source, origin, occasion, date, and story — appears on the Certificate of Record, in the Collection Book PDF export, and in the Excel inventory export when provenance is included.

Yes. Any item can be designated as a family heirloom with an intended recipient, the occasion it will be passed on, and its current status — Active, Gifted, or Bequeathed. Heirloom items show a gold ribbon badge in your gallery and are called out on the Certificate of Record and Emergency Export Pack.

JewelLedger has a service reminder system. Set reminders for cleaning, restringing, repair, servicing, appraisal renewal, or insurance renewal against any item. A reminders dashboard shows everything due across your vault sorted by urgency. Overdue items are flagged in red. You can also enable browser notifications so JewelLedger alerts you when service is coming up.

In the Storage section of any item you can record where each piece is kept — at home, in a safe, or in a bank locker, with optional details like key holders and access notes for families managing multiple locations. Like everything else in JewelLedger, these details are stored only on your device — never on our servers — so recording where your jewelry lives never exposes it to anyone.

Use the Export and Share feature to generate a PDF or Excel file of your collection. You choose exactly what information to include — values, storage locations, and sensitive details can be hidden before sharing. Share the file via WhatsApp, email, or any app.

The Emergency Asset Pack generates a complete, formally structured PDF of your entire vault in one tap. It is designed for insurance claims, police reports after a theft, estate documentation, and legal proceedings. Every item is shown with its type, metal, purity, weight, condition, storage location, and gemstone details. Professional appraisal values are included where entered. The pack includes lost or stolen archived items by default, since these are most relevant in a claim situation.

Yes. Download the JewelLedger import template from inside your vault — it is an Excel file with dropdown validation built in so you cannot enter wrong values by mistake. Fill it in with your existing collection, upload it, review the items on a preview screen, and confirm. On the free tier you can import up to your 30-item limit; on Pro you can import up to 500 items at once.

Yes. JewelLedger stores your collection on your device — but you can create an encrypted backup of your entire vault and save it to Google Drive, Dropbox, or download it manually. The backup file is encrypted with your account password before it leaves your device. JewelLedger cannot open it. On a new device, sign in and restore from your backup file. Your full collection — every item, photo, and record — is restored exactly as it was. Set up your backup once in Settings — it runs automatically from there.

JewelLedger supports INR, USD, EUR, GBP, AED, SGD, JPY, AUD, CHF, and CAD. Set a display currency for your vault and all values — purchase prices, metal values, and appraised values — are converted automatically using live exchange rates. Your original stored values are always preserved exactly as entered.
